SSRC August Board Meeting Minutes 2014

SSRC Minutes for August

August 10, 2014

 

Attendees:  Brad, Marla, Mark, Paul, Becky, Norma, Claire, Jill

 

There were no corrections or additions to the July minutes.

 

Jill, Treasurer, presented the membership report and the treasurer’s report.  Two new members joined.  One was our first online member.   This was Jill’s last board meeting as she is moving to a new position at Doane College in Nebraska.  Her excellent work with organizing the club’s finances was applauded.  Mark graciously offered to fill this position.

 

The details for Labor Your Legs on September 1 were discussed.  Mark contacted a Boy Scout troop and they have agreed to cook the pancakes.  The young women’s organization at his church also volunteered to assist with the pancake feed.  Mark will purchase the supplies of food.  Brad will get the tableware and orange juice.  We estimated 250 people will attend.  Claire visited businesses to get items for the raffle prizes and all the board members will work at acquiring these too.  We were encouraged to remind other club members to bring additional food dishes for the breakfast.  Becky will mark the turnaround with an aid station.  We will run/walk the same course as before on Shunga Trail.  Brad emailed the Topeka Capital-Journal and we are hopeful they will publicize this event.  Becky made posters and everyone took some.

 

The Topeka-to-Auburn race was discussed.  The course is set and is to be measured in October.  Five schools will participate and will be the recipients of our race charity funds—Topeka West, Topeka High, Shawnee Heights, Seaman, and Washburn Rural.  The Running Free club will help also.  Last meeting, we discussed having larger medals and Jill will follow up and get information for us about cost and availability. 

 

Becky is working on the entry form.  She will need the new course description which will be available in October.  Her brochure will include comments about the larger medal, instructions regarding parking, and the fact that participants will be able to pay with a credit card the day of the race.  Becky will update the web site with current information about the race.  Becky will contact RRCA regarding the cost of advertising in their magazine. 

 

We will use Heartland Timing again.  Donations are appreciated for cups and chocolate milk.  The swag item with be a sweatshirt and GTM will be contacted regarding the cost.  The socks will be $2.10 each and we will go with that.  A tankard has been selected for the awards and Brad will check with Western Resources to see if the cost can be negotiated.  Paul and his crew will organize busing and parking.  Brad will contact the sheriff’s department.  Mark will be in contact with the Auburn Grade School, the Police Department, the Post Office and the Auburn Community Center.  Indian Hills School will be glad to host that morning. 

 

Marla and Norma will be the contact people for volunteers.  B. J. Taylor will be the announcer and Dick Ross the photographer.  Next board meeting we will discuss the locations of the Porta-Johns.  Mark checked on biodegradable arrows and learned there are 250 in a roll for $76.  However, the markers will not adhere to a wet surface or gravel.  We will consider this as a possibility for future events such as the Sunflower State Games.  They can be purchased online at www.routearrow.com

 

We will need to get supplies for the aid stations.  Supplies for the non-aid stations are to be determined.  A complete set of mile flags is now available as Brad ordered those that were missing from the set.   We will advertise in Masterpiece, the MARA online publication.  A lot of Kansas City people read it.  A special price for the half-marathon will be available to club members at Labor Your Legs.  Students will be offered a discount in late September.  Hayden and Highland Park will be contacted as well.  Paul will let the Washburn runners know.

 

Mark will talk to the Auburn City Manager and request that they not grade the roads before the race. 

 

Mark’s son has agreed to look at the web site and consider if this is something he can manage for our club.

 

Norma shared the upcoming race schedule.  The predominant races are:

            September 13—RABC

            October 4—Washburn

 

Several board members will check on getting entries to area races which will be given out as raffle items at Labor Your Legs.

 

In future publications, Becky will announce to members that online registration is now available.

 

October is the next newsletter.  We will have our next board meeting on September 14.
