SSRC Board Meeting September 2013
September 2013 Meeting Minutes
Attendees: Brad, Marla, Norma, Jared, Paul, Tanya
Minutes from August were approved.
No treasurer report was read.
Labor Your Legs was held on September 2nd at 8:30 am at the Crestview Shelter House. Brad would like to know the total cost for this event. There were 226 people that signed up for the drawing and an estimated 250 attendees. Most of the food was gone when the last runners/walkers got back to the shelter house. Norma suggested the club provide more food next year so there would be other items besides just pancakes left for the late ones. Another suggestion was to set some of the food aside and bring it out later when more of the late people returned.
There was a suggestion that instead of a picnic next year that we should do another “Labor Your Legs” type event and invite the community instead of just club members
Becky has put an online registration up on the website for Topeka to Auburn. We need to check this for any changes to be made. It was decided to add a donation line for the Bridge under the entry fee line. We will need to get the application finalized and put to print. One addition should be the location of the port a john. We need to verify where we will be able to place this along the course and add that to the application. There will also be port a john at Fairlawn Plaza.
Jared will check with the Auburn fire dept and see if they will do an aid station. There will be 4-5 stations this year. Do we need to change a few of the locations this time? Also, can we recruit any younger volunteers to help out with these?
Shirts for the race have been ordered and paid for. They will arrive in early December. Should we give extra shirts to volunteers? Brad brought in a sample pair of socks. He is still waiting on the sock proof and price.
The awards are being painted now and will be $5.00 apiece. The medals like we had last year will be $1.99 if the order is for 500. It was decided to keep the year on them. Should we put more money into the finisher medals this time and make them bigger?
Mallory from Gary Gribbles has e-mailed Gary about giving gift certificates as prizes. He hasn’t responded yet. We might need to figure out some other prizes for the overall winners. Brad doesn’t want to give checks out, so the thought was if Gary doesn’t want to donate, the club could purchase the gift certificates.
Heartland timing will do the timing for the race again this year. No word on the survey yet.
We haven’t done the promo yet for the race for club members. A thought was to do this the first week in October when we do our group run from Gary Gribbles. The promo rate would be good for one week starting September 30th. We still need the contact information for the HS kids to give them a discounted entry fee for the race. Need to get with Monica and find out what time of year would be good to do this.
Brad gave The Board a list of estimated expenses so far for Topeka to Auburn. There was also a comparison to last year’s race expenses.
Upcoming races include:
Suicide Prevention 5k September 14th, Race Against Breast Cancer September 21st, Washburn Alumni 5k, Combat Air Museum 5k on September 28th, Run for a Reason 5k and half marathon on October 5th, and The Pumpkin 5k Run October 26th.
There is still a need for articles for the newsletter. We would like to have Gary Gribbles submit something.
Does anyone out there wonder when and where the board meets or what we talk about? Is all of my effort and hard work taking and typing up these minutes going to waste? Or are there people who actually read them? If your one of those who does read the minutes contact Brad and let him know. The first five people who do will get a pair of Topeka to Auburn socks.
Next meeting will be 7pm on 10/13 at Bakers Dozen.
