Sunflower Striders Board Meeting Minutes
October 12, 2008

Present: Brad Rhoden (President), John Patch (Vice President), Kelly Christensen (Treasurer), Debbie Pryor (Secretary), Marla Rhoden (Member at Large), Norma Weiser (Member at Large), Charles Steinkuehler (Member at Large), Becky Collins (Newsletter Design and Layout)
A large part of the agenda for this meeting was planning for the Topeka To Auburn Half Marathon. The board discussed and reported on the following:
Brad proposed that we print 1500 entry forms, 500 more than last year. He suggested mailing to previous participants and distributing to local and surrounding races and businesses. Instead of inserting forms into the newsletter this year we will be making the form a part of the newsletter.
We have received 324 of the 400 shirts ordered so far. Kalos will be doing the screen printing.
He showed a couple different examples of socks that he would like to order for all participants, chose a logo color, ordering from www.gearforaces.com.
Mizuno will be providing the bibs. We need to look into bags for packets.
Talked briefly about promoting the event.
John is in the process of getting in touch with the Auburn contacts, race day coordination (busing, parking, Community Center, pancake feed, course marking), and Course set up on race day.
Kelly reported on registration, spoke briefly on race results for this year and who might be responsible for them, and what signage we will need directing participants to the pancake feed at the school and to the community center.
Debbie reported briefly on where she was at with awards, finisher medals, Topeka contacts, Emergency personnel, and post race food.
Charles sent in paperwork and payment for the parade permit, he is also updating website, and responsible for set up at KTKA -TV
Norma is compiling a list of volunteers, working on setting up busing from Auburn to Topeka before the race, and responsible for the set up of aid stations on race day.
Becky finished up the entry form and will be working packet pickup at GPRC.
The banquet is tentatively planned for early February 2009. Debbie is going to report back to the board with three different scenarios to choose from.
A brief discussion on the website, posting race results, updating the front page more often, posting things in a more timely manner.
The board chose to adopt a family from the Christmas Bureau again this year.
Discussed timing Meadows Elementary Run, and Turkey Trot in Lawrence.
Brad suggested having a standard procedure for requesting our assistance with race timing and results. It would include volunteering for another event.
The next meeting will be held at Brad and Marla Rhoden's home on November 11th at 5:00.
